A bit about the role

We’re looking for a motivated Business Administration Apprentice to join our friendly team and be the welcoming face of our reception.  Based in the heart of Chelmsford, we’re a successful law firm offering a fantastic opportunity to kick-start your career, gain hands-on experience, and achieve a qualification in business administration within the Legal sector.

Day to day responsibilities

You will be based on reception, working alongside our senior receptionist to deliver a warm, first-class front-of-house experience and support our Legal teams in their day-to-day work. Alongside completing your coursework through Chelmsford College, you’ll also assist with a variety of administrative tasks, giving you valuable insight into how a busy law firm operates.

Reception Duties

  • Professionally welcoming clients and visitors
  • Answering incoming calls clearly and confidently
  • Taking accurate messages and passing them on promptly
  • Arranging appointments when secretaries are unavailable
  • Anticipate client needs and always deliver an excellent experience
  • Keeping the reception and client waiting areas clean, tidy and welcoming
  • Ensure meeting rooms are clean, organised and stocked with stationery and supplies

Administration Duties

  • Manage and process incoming post
  • Open new files, prepare initial client letters and complete required forms
  • Scanning and photocopying
  • Close files accurately, following the correct procedures
  • Type letters, emails, and correspondence, updating the Osprey case management system
  • Support fee earners with marketing activities, including presentations and assistance with hosting of events/meetings when required
  • Help maintain stationery and kitchen stock supplies
  • Be a positive, flexible, and supportive member of the team
  • Assist the Office Manager with ad-hoc tasks as needed

Location and Working Hours

Hours: Monday – Friday 8.30am – 5pm or 9.30am – 6pm

Our reception team operates a two-shift rota alternating weekly.
