Business Administration Apprentice – Reception

We are looking to recruit a Business Administration Apprentice to join us and provide first class front of house service to support our Legal teams.

About You

  • This is an extremely busy role so the ability to multi-task and be organised is imperative.
  • Confident, clear and articulate communication skills both orally and in writing.
  • Well presented, appropriate to a professional business environment.
  • Pleasant telephone manner speaks clearly and fluently.
  • Monitors and maintains quality and productivity.

  • Ability to build effective relationships with managers, staff and clients.
  • An awareness of the need for confidentiality.
  • Experience using Microsoft office desirable but not essential.

  • A willingness to assist colleagues and clients to achieve successful outcomes.
  • A proactive approach and the desire to learn.
  • Preferred GCSE grades at A-C/9-4 including English and Maths.

About the Role

You will be based in reception working alongside our senior receptionist and wider support team and whilst undertaking coursework via our chosen training provider, you will also be involved in administrative support for our various Legal departments.

Your duties will include, but not limited to:

Reception Duties:

  • Meeting and greeting clients and visitors and informing relevant people of their arrival
  • Answering the telephone in a clear and confident manner
  • Taking accurate telephone messages and passing on in a prompt manner
  • Making appointments in the absence of the secretary
  • Ensuring clients’ needs are anticipated and met at all times
  • Ensure the reception and client waiting area is kept clean and tidy
  • Ensure meeting rooms are kept clean and tidy and stocked with stationery and supplies

Administration Duties:

  • Managing and processing inbound post. Sorting and scanning on to Osprey document management system.
  • Undertaking file opening and sending initial client letters, completing forms as appropriate.
  • Scanning and photocopying.
  • File closure – ensuring the correct procedures are followed.
  • Typing letters, emails and other correspondence and updating the Osprey case management system.
  • Supporting fee earners in marketing activities including preparation of presentations and assistance with hosting of events/meetings when required.
  • Assisting with maintaining stock supplies for stationery and kitchen area.
  • To be a flexible and supportive member of the team.
  • Assist the Office Manager with various tasks as and when required.

Hours – Operate a rota in two shifts the following hours are alternated on a weekly basis 8.30 – 5.00 and 9.30 – 6.00.

Conveyancing Paralegal

  • Dealing with clients over the telephone and face to face
  • Providing quotes to prospective clients using our online quote tool
  • Land Registry Direct system application forms
  • Completing Local Authority, Chancel and other relevant pre-exchange searches
  • Complete Stamp Duty Land Tax forms
  • Post-completion procedures
  • File Closure
  • Building up a good rapport with Estate Agents and other parties

Residential Conveyancing Fee Earner

A new opportunity has arisen for an ambitious Conveyancing Fee Earner to join our highly reputable residential property team.

About You

The right candidate will have experience of residential property law, conveyancing and related matters. You will be working directly with Liz Searl and Catie Edwards (Directors) and their conveyancing team and support staff.

About the Role

  • You will deal effectively with clients and third parties over the telephone, in written correspondence and occasionally face to face, in order to provide advice and assistance
  • You will be responsible for chasing various documentation, ID, mortgage offers and searches
  • Proactive updates to the client regarding their transaction, contract checks, mortgage reports and search results checking, replying to freehold and leasehold enquiries
  • Dealing with freehold, leasehold, re-mortgages, transfer of equity, right to buy, shared ownership and new plot purchases
  • Dealing with the exchange of contracts and completion of purchases
  • Work with the rest of the team to develop new opportunities and communicate our message to attract new clients. This will range from writing articles for the website and publications to attending business networking events and even speaking to a room full of people if you have the skill.

Hours – 09:00 – 05:30
